This privacy policy explains how Clarity Sensors Limited (“Clarity Sensors”, “we”, “us” or “our”) collects and uses personal data when you visit www.claritysensors.com (our “website”), get in touch with us or apply for a job with us. It also explains your rights and how to contact us.

We handle personal data in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

2. The personal data we collect

When you contact us

If you use the contact form on our website, or email or phone us, we collect the information you give us. Through the contact form, this is your full name, organisation, email address, phone number, the subject of your enquiry and your message.

When you apply for a job

If you apply for a vacancy through our website, we collect your first and last name, email address, phone number, the role you are applying for, whether you have the right to work in the UK, and your CV and covering letter, together with any other information you choose to include in them.

Please do not include sensitive information in your CV or covering letter (for example, information about your health, ethnicity, or religious or philosophical beliefs) unless it is relevant to your application, such as a request for adjustments during the recruitment process.

Some vacancies may ask you to apply through another website, such as LinkedIn or a recruitment platform. That website will handle your information under its own privacy policy, and we will handle any information we receive from it as described in this policy.

When you browse our website

We use Google Analytics to understand how visitors use our website. It collects information such as the pages you visit, how long you spend on them, how you arrived at our website, your approximate location (for example, your country or city), and the type of device, browser and operating system you use. Google states that Google Analytics 4 does not log or store IP addresses. We look at this information in aggregate to see how our website is performing, and we do not use it to identify you.

Like most websites, our hosting provider and its security network automatically process technical information when you visit, such as your IP address, browser type and the pages you request. This is needed to deliver the website to you and to protect it against attacks and misuse.

Our forms are protected by Cloudflare Turnstile, which checks that a submission comes from a person rather than an automated program. To do this, it processes information about your browser and device, such as your IP address and browser characteristics.

3. How we use your personal data

Data protection law requires us to have a lawful basis for each way we use personal data. We use your personal data:

  • To respond to your enquiry and continue any related conversation with you. Our lawful basis is our legitimate interest in responding to people who contact us and developing our business relationships.
  • To consider your job application, communicate with you about it and make recruitment decisions. Our lawful basis is taking steps at your request before potentially entering into an employment contract with you, and our legitimate interest in recruiting the right people.
  • To check your right to work in the UK. Our lawful basis is compliance with our legal obligations as an employer.
  • To understand how our website is used and improve it, using Google Analytics. Our lawful basis is our legitimate interest in running and improving our website.
  • To keep our website and forms secure and to prevent spam and misuse. Our lawful basis is our legitimate interest in protecting our website, our business and our visitors.
  • To comply with the law and to establish, exercise or defend legal claims. Our lawful basis is compliance with our legal obligations and our legitimate interests.

Where we rely on legitimate interests, we make sure those interests are not overridden by your interests, rights and freedoms. You have the right to object to this processing (see section 10).

We do not sell your personal data, and we do not make decisions about you based solely on automated processing.

4. Cookies

Cookies are small text files placed on your device when you visit a website. Our website uses the following cookies:

  • Google Analytics cookies (_ga and _ga_JQFGSX6VFS): these distinguish visitors and visits so that we can produce statistics about how our website is used. They last for up to 2 years.
  • Security cookies: our hosting provider’s security network may set strictly necessary cookies to protect our website from malicious traffic. These are short-lived and are not used to track you.

You can block or delete cookies through your browser settings, although blocking all cookies may affect how some websites work. You can also stop Google Analytics collecting data about your visits by installing the Google Analytics Opt-out Browser Add-on. For more information about cookies and how to manage them, see the ICO’s guidance on cookies.

5. Fonts and code loaded from other providers

To display our website correctly, your browser loads fonts from Adobe Fonts and standard code libraries from public content delivery networks (cdnjs, jsDelivr and unpkg). When this happens, those providers receive your IP address and basic information about your browser, which they need in order to deliver the files to you. They handle this information under their own privacy policies.

6. Who we share your personal data with

Within Clarity Sensors, access to your personal data is limited to the people who need it, for example those involved in answering your enquiry or reviewing your job application. We share personal data outside Clarity Sensors only where necessary, with:

  • Service providers who help us run our website and business, including our website hosting provider (WP Engine) and its content delivery and security network (Cloudflare), our email provider (Microsoft), our website analytics provider (Google), and the agency that designs and supports our website. These providers act on our instructions and may only use your data to provide their services to us.
  • Professional advisers, such as lawyers and accountants, where they need it to advise us.
  • Law enforcement agencies, regulators and other authorities, where the law requires us to.
  • A buyer or successor, if we sell or restructure all or part of our business. Your personal data would continue to be protected in line with this policy.

7. International transfers

Some of our service providers are based in, or process data in, countries outside the UK, including the United States. Where your personal data is transferred outside the UK, we rely on appropriate safeguards to protect it, such as UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework), or the International Data Transfer Agreement or International Data Transfer Addendum issued by the UK Information Commissioner.

8. How long we keep your personal data

We keep personal data only for as long as we need it for the purposes described in this policy, including to meet any legal, accounting or reporting requirements.

  • Enquiries: we keep your enquiry and our correspondence with you for up to 2 years after our last contact. If we go on to work together, we keep it for as long as our business relationship continues and for a reasonable period afterwards.
  • Job applications: if your application is unsuccessful, we keep it for up to 6 months after we tell you our decision, so that we can answer any questions about the process and respond to any legal claims. If we would like to keep your details for future vacancies, we will ask for your permission first. If your application is successful, the information becomes part of your employee record.
  • Analytics data: Google Analytics keeps data linked to cookies and visitor identifiers for no longer than 14 months.
  • Technical and security logs: these are kept by our hosting and security providers for a short period, in line with their own retention policies.

9. How we keep your personal data secure

We use appropriate technical and organisational measures to protect your personal data, including encrypted (HTTPS) connections to our website, access controls, and carefully chosen service providers. However, no method of sending information over the internet is completely secure.

10. Your rights

Under data protection law, you have the right to:

  • Access: ask for a copy of the personal data we hold about you.
  • Rectification: ask us to correct personal data that is inaccurate or incomplete.
  • Erasure: ask us to delete your personal data in certain circumstances.
  • Restriction: ask us to limit how we use your personal data in certain circumstances.
  • Objection: object to our use of your personal data where we rely on our legitimate interests.
  • Data portability: ask us to transfer personal data you have given us to you or to another organisation, in certain circumstances.
  • Withdraw consent: where we rely on your consent, you can withdraw it at any time. This does not affect anything we did before you withdrew it.

To exercise any of these rights, please email [email protected]. We may need to confirm your identity before we respond. We will normally respond within one month, and there is usually no charge.

11. Complaints

If you have concerns about how we use your personal data, please contact us first so that we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection, at ico.org.uk/make-a-complaint or by calling 0303 123 1113.

If you are in the European Economic Area, you can also complain to the data protection authority in the country where you live or work.

12. Links to other websites

Our website contains links to other websites, such as our LinkedIn page and the websites of our partners and funders. We are not responsible for how those websites handle personal data, so please read their privacy policies.

13. Children

Our website is intended for businesses, researchers and job seekers, and is not aimed at children. We do not knowingly collect personal data from children.

14. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated shown at the top.
